UX Design Project

Our previous intranet was developed on Moxi Works, a CRM platform for our agents. We were tasked with moving to a new CRM platform by Q1 2025. The VP of Marketing decided to use this opportunity to explore options for a new intranet.
I lead the research for intranet solutions, communication with our IT/development team, research of our users to implement improvements to the new intranet, and design of the intranet on the SharePoint platform.
UX Design Lead: I reconstructed the information architecture, created user flows to improve navigation, and led feedback sessions with the marketing team to implement MVP solutions that fulfill user needs and business visions.
User Researcher: I lead user interviews, heuristic evaluations and usability tests to identify key issues of the current website, converting insights into actionable design directions.
Overview
After our research, we decided to build out a network of SharePoint sites that are all linked to a SharePoint hub. This allows our different departments to manage their SharePoint sites, while allowing us to facilitate the growth of the full intranet.

Agent Support
The agents are able to access all the resources and support they need within Intero.
SharePoint offers a secure log in that allows the agents to access private information.


We implemented dynamic content to keep agents informed.
Our agents were only getting informed from their respective offices. Company wide news was often lost in an elaborate game of telephone between executives and management. The new intranet allows the marketing department to manage company wide news.
Business Goal
During my time at American Safe Inc, my objective was to develop a new website, create educational commercial security content, and share through various marketing channels.

Research
The interview was broken into categories that included demographic questions, current usage of the intranet, pain points, and feature exploration. We also observed the agents walking through the previous Intranet.

I compiled all the interviews into a software called Dovetail to break out key nuggets around our agent’s needs.
Through these interviews, we learned that our agents workflow is broken into many complex parts. This includes establishing their brands, building business strategies, prospecting new clients, and supporting their clients buy/sell/invest. We needed to make sure that our intranet can support them through these processes.

After the interviews, we conducted a heuristic evaluation.
We wanted to use the previous intranet as a launch pad to improve on previous ideas or sections. We knew that SharePoint would offer improvements from a UI standpoint, so we wanted to focus on improving the user experience.

Key Insights
With a foundation of research, we were able to use these key insights to give us a clear direction in building out our SharePoint sites.

Users wanted an intranet that provides agents with latest company news, up to date vendors for their businesses, and a collection of recent webinars.

New users at our company were getting confused with the previous Intranet’s organization of information. New agents needed to be shown where everything was located in the previous intranet.

At Intero, the company has always centered their agents. We needed to make sure that our intranet extends that philosophy.
Early Designs
We were also given a test SharePoint site that gave us the freedom to experiment with sections and layouts.

We conducted 7 usability tests with new agents, managers, and admins across the company.
This allowed us to continue iterating on the user flow, lay out of information, and edits to the copy.
Design System
Clean Visual Theme
Our design system is upheld through SharePoint. I compiled a library of images that centered around collaboration and business that can be utilized for the expansion of our intranet.

Design Highlights
We wanted to make sure that our SharePoint sites reflect the usability of a website and will look presentable across all devices.

What’s New?
I was able to implement new features through research. These features are managed by other directors.
New Feature
Integrated Company Events
Our Education Director inputs upcoming training, webinars, and events into a calendar that is displayed on the new intranet. Our users’ are able to add the events to their personal calendars.

Newsletter Feature
Real Estate Content
I have established a process to set up a newsletters for our experts in real estate. I created the templates that fit around the type of content that is written for the users.

Impact
We worked with our IT department to set up our security groups for our users. This allowed us to control permissions for users in accessing certain content.
I improved the navigation to prioritized resources.
Describe that our SharePoint Hub has Resources, recorded trainings, and department information all being under one sharepoint.

I improved the organization of content and resources.

The new Intranet has access to metric across SharePoint.
Our marketing team can use those metrics to continuously improve the intranet and audit content.

The users log into the SharePoint intranet with their Microsoft accounts.

We have access to metrics across the SharePoint sites. We are able to see engagement across videos, pages, and sites.

We are continuously expanding the SharePoint hub. This includes editing existing pages, adding new pages, and setting up newsletters.
Reflection
Curiosity is a fast way to learning.
I was new to the SharePoint platform. I had to get familiar with the features, and ways to make SharePoint less clunky. I spent a lot of time researching SharePoint features and limitations.
Communication drove this project forward.
I worked with multiple departments from our parent company and our own to facilitate the building and implementation of this intranet. I had to make sure everyone was on the same page, deadlines were met, and I had to be flexible when hold ups occured.
